Apart from the logistical needs of any foreign business trip, the delegation members abroadoften face serious information disparities. Here we move forward from the basic physical needs and aim to address the existing knowledge gaps. We make sure that our customers will attend each meeting with all the necessary information on their business partner and policy environment of the industry in question, as well as with a clear vision of what they can achieve from the upcoming negotiations. We will prepare written documents for each meeting before the trip as well as provide in-car counseling between meetings. The aim of these services is to save time during the negotiation phase by avoiding misunderstandings or irrelevant, redundant topics, therefore to maximize the efficiency of each meeting.

What happens if I do not know the exact arrival and departure date, or the exact number of participants of our business delegation?
Please still fill in the ‘Request an initial quote’ table to the best of your knowledge and book an online meeting, where we can discuss the details of your trip and find a tailor-made solution.
I have some additional requests that I am not able to / do not wish to enter into the ‘Request an initial quote’ table, how would I know if you could fulfil these wishes and how much these requests will cost?
We will discuss any of your personalized wishes during our online call and our colleagues will inform you on the miscellaneous costs at a later day.
When do we have to pay for your services, before or after the visit?
A fraction of the payment has to be made upon accepting the final quote to cover the initial – mostly logistical – costs, a second payment needs to be paid before the delivery of reports, policy briefs and counselling services, while the third and final payment is due after the successful completion of the delegation visit. You will receive more information during the online meeting.
During the program planning do you contact our business partners in Hungary, or do we arrange meetings with them and inform you where do we want to be and what time?
All these decisions are made by the customer. We only initiate meetings or contact Hungarian partners with the prior approval of you, the customer. We respect your decision to handle part of your program on your own or refusing to share certain contacts or partner information with us.
Do you attend the meetings you organize for us?
We only attend meetings with the prior request from you, the customer; possible attendants are the guide and the interpreter with full confidentiality to the contents of the meetings.
In what languages can we request interpretations? Do you provide simultaneous or consecutive interpretation? What languages do you use for the background information and market analysis?
We provide consecutive interpretation and market analysis services in English, Mandarin and Hungarian.
Do we get a refund for cancelled meetings or programs?
We only provide refund if programs, meetings or services ordered were not delivered due to lack of due diligence from the Cordialis team. We take no responsibility for the actions or inaction of the customer or their local partners, or if the customer does not provide the necessary information for us to carry out our tasks – for example we might need the passport information of all delegates for booking accommodation in advance.
Can we choose the accommodation where we would like to stay? Do you make the payment for the accommodation in advance, or do we have to do it after you booked it for us?
If you are interested in being involved in any part of the planning, we are open to just directly follow your requests or provide you suggestions. Of course, you are also entitled to leave the whole work to us. This is true for the hotels, as much as for any other part of the program. If you have a preferred hotel, let us know and we will carry out our tasks accordingly. It is acceptable if you decide to pay your hotel directly, but if you tasks us to pay for you, we will include that cost into the quote.
What does ‘service level’ mean in the initial quote request table?
We understand the each customer has his/her own preferences in terms of assistance; some enjoy independence and direct control, while some wishes to focus exclusively on their own targets and expertise. We try to cater to your needs by creating several levels of service, which represent our level of engagement and attention to certain details during your visit. The ‘ Grade I’ services are designed for high-value CEOs or Chairmen of major organizations, where you expect attention to be paid to all details that can enhance the delegation leader’s experience. Authority shall emanate from the delegation at every point during their stay in Hungary. The ‘Grade II’ services are designed for the leadership of mid-sized organisations or the CTO, CFO, or regional managers for major entities. This type of service is suitable for delegations that wish to present a certain prestige, but their interaction are predominantly work-oriented rather than festive. The ‘Grade III’ services aim for efficiency and is targeted for the head of SMEs, or the mid-management - head of sales, sectoral managers - of larger entities. This is for people who want to get the job done quickly, efficiently, and independently without any unnecessary protocol burden.
Can you share us an example on how we can benefit from your services? How would an average business trip organized by Cordialis differ from a self-organized one?
Working with Cordialis you could expect to be catered even before your first step in Hungary to the moment you re-enter the airport on your departure. Before your trip, you will receive a document package containing a detailed program schedule, travel information, information on each meeting and partner, a sectoral environment analysis, as well as the description of other activities and programs. After you landed, our chauffeur and guide will pick you up at the airport and escort you to your accommodation, while helping you with currency exchange, internet and other travel related tasks. Each day our chauffeur, guide and interpreter will pick up the delegation and escort you to your next meeting. If requested, you will receive further counseling each morning or during the car ride concerning the meetings ahead, your local partners and on the Hungarian business environment. During the meetings, the Cordialis team applies a strict non-interference principle. We do not involve ourselves into the content of any negotiations – we might as well stay outside of the room, if requested –, but help you with interpretation, protocol or to monitor time and other constrains. In between meetings, we arrange dining or respond to other emergency tasks, so you do not have to worry about reaching your next destination on time. After the meetings, we might arrange further programs and cultural activities, and hopefully by the time we drop you off again at the airport, you feel that not a single moment of your precious time in Hungary was wasted.
